A coalition of organizations came together with a bold goal: to tackle the underlying drivers of irregular migration at the border. But managing the full cycle of grants—from applications to disbursements and impact tracking—was bogged down by outdated methods. Teams relied on endless email threads, scattered spreadsheets, and paper-based approvals, creating bottlenecks that slowed everything down.

Stakeholders spread across departments, municipalities, and external partners struggled to stay aligned. Communication gaps led to delays, and without a single source of truth, leaders couldn’t easily access real-time data on budgets, progress, or outcomes. This made it tough to measure real-world impact or adjust strategies on the fly, risking the mission’s effectiveness in supporting vulnerable communities.

Data Science Dojo stepped in to build a tailored grants management ecosystem, centered on two interconnected web applications that brought order to the chaos.

The internal Grants Management System became the backbone for the organization’s teams. It digitized the entire workflow: authorities could submit, review, and approve proposals online, ditching manual paperwork for good. Real-time dashboards tracked every detail—lifecycles, budgets, beneficiary stats, and financials—while automated notifications kept everyone in the loop via email.

For external partners, the Partner Portal opened a direct line. Organizations submitted proposals, uploaded reports, and shared documents seamlessly. They got instant updates on status, funding, and requirements, building trust through transparency.

At the backend, we leveraged Azure’s scalable infrastructure. App Services and SQL Database handled fluctuating loads with custom auto-scaling, keeping costs low without sacrificing performance. CI/CD pipelines ensured smooth updates across three environments—DEV for building, UAT for testing with client feedback, and PROD for flawless live deployment.

We didn’t stop at functionality. Multilingual support lets users switch languages on the fly, breaking down barriers for diverse teams and partners. And three Power BI dashboards turned data into stories: one mapped projects geographically, another summarized key metrics with dynamic tables and timelines, and the third drilled into beneficiary demographics and biweekly progress – all integrated with the grants management system.

Faster decisions, deeper reach, stronger outcomes

The transformation was immediate and measurable. Grant processing times plummeted thanks to automated workflows and cron jobs, freeing teams to focus on strategy rather than admin. With data at their fingertips through the grants management system, leaders made sharper, evidence-based calls—monitoring impact in real time and pivoting as needed.

Collaboration soared. The portal bridged internal and external worlds, cutting miscommunications and aligning efforts toward shared goals. Over 60 grants flowed through efficiently, reaching 2,200+ individuals in indigenous groups, youth programs, and women’s initiatives. Funds hit the ground faster, driving tangible improvements in socio-economic conditions.
